Summary of the position:
Responsible for executing day-to-day HR operations, ensuring smooth onboarding, payroll and statutory compliance, HRIS data maintenance, employee engagement activities, insurance administration, vendor bill/payment processing, and exit procedures. Acts as the primary operational link between employees, payroll, vendors, and internal teams for HR-related processes.
Key Responsibilities:
1. Onboarding & Induction:
• Coordinate all joining formalities for new employees, including document collection, policy acknowledgements, and ID creation.
• Execute induction programs and orientation sessions for new hires.
• Ensure all onboarding tasks are completed accurately and within timelines.
2. Payroll & Statutory Administration:
• Process starters, transfers, promotions, increments, and related HR documentation.
• Coordinate with payroll and finance for timely salary allocations, EPF/ESI enrollment, and submission of statutory filings.
• Maintain employee data for compliance and operational accuracy.
3. HRIS & Data Management:
• Maintain and update HRIS with accurate employee information, role changes, leaves, and attendance.
• Prepare and maintain operational HR data for internal use, audits, or process tracking.
• Support operational aspects of performance management, including goal tracking and review documentation.
4. Employee Engagement & Insurance Administration:
• Organize and coordinate employee engagement initiatives, team events, and recognition programs.
• Act as operational point of contact for employee queries related to HR processes and insurance matters.
• Implement approved engagement and wellness programs at the execution level.
5. Talent Administration & Workforce Management:
• Process probation reviews, contract extensions, role revisions, and acting appointments.
• Coordinate recruitment activities: scheduling interviews, preparing offer letters, onboarding, and joining formalities.
• Maintain accurate employee records, service letters, and documentation.
6. Exit & Separation Processes:
• Execute exit procedures in compliance with organizational policies.
• Process full and final settlements, clearance certificates, and statutory filings.
• Conduct exit interviews and ensure proper handover of responsibilities.
7. Vendor & Agency Payment Processing:
• Ensure timely processing of bills and payments for HR-related vendors and agencies, including recruitment, HRIS, legal, insurance, and other operational service providers.
• Maintain records of vendor invoices and payment schedules for accuracy and compliance.
• Follow up with vendors to resolve payment or billing issues promptly.
8. Operational Compliance & Process Implementation:
• Implement HR policies and processes in day-to-day operations.
• Ensure adherence to statutory compliance and internal HR process guidelines.
• Identify gaps in operational processes and recommend corrective actions to ensure smooth execution.
EDUCATION AND EXPERIENCE:
• Bachelor’s degree in HR, Business Administration, or related field (Master’s preferred)
• 8-10 years of hands-on HR experience in operations and administration
• Practical experience with payroll, HRIS, statutory compliance, onboarding, exit management, vendor payment processing, and operational HR data management
• Strong coordination, organization, and interpersonal skills
• Ability to manage multiple operational tasks with accuracy and timeliness
