Key Responsibilities:

Finance:

- Ensures finance related compliance with government tax and other legal regulations
- Review and process all vendor/staff payments and reimbursements to be made for appropriateness, internal
authorization, company policies, and statutory rules.
- Computation of tax and ensure timely payment of taxes and return filing of various taxes.
- Drill down the data for ageing report from SUN System and follow-up with state staffs, vendors and
partner NGO’s for timely liquidation of advances.
- Conduct financial assessment for potential partners and preparation of internal control improvement plan in
coordination with partner NGO’s finance officer.
- Prepare budget for restricted fund, pool costs and Donor budgets based on allocated APP for each project.
- Preparation BMF (Budget modification) entry, commitment entry and liquidation entry in SUN System against
agreements with Partner NGO’s and the monthly financial reports shared by partners.
- Prepare monthly fund request for partners in accordance to quarterly cash flow received from partners for
transmission of fund from HQ.
- Update transactions in SUN System and prepare monthly bank reconciliation statements.
- Ensures timely generation of reliable and timely project financial statements (MIS) and provides analysis for
submission to respective budget holders.
- Review monthly budget comparison reports and alert staff and partners on spending patterns.
- Facilitate the financial/ compliance audit of the partner NGO’s and support partner in developing the Corrective
Action Plan, and conduct regular reviews based on the prepared plan.
- Prepare the financial reports for donor as per the decided requirements of the external donors.

Administration:

- Supervise maintenance of all office equipment including records of annual maintenance contracts (AMC).
- Supervise, coordinate and execute wherever required all domestic/international travel Arrangements.
- Supervise updating of asset list at regular intervals, assign the number for each asset, and conduct physical
verification.
- Inventory control of all items – office stationeries, supplies, program and promotional items.
- Keep track on all warranty, guarantee and insurance details for all assets and equipment.
- Sourcing of vendors and agencies as per procurement requirements.
- Responsible for Goods/assets Procurement in line with the procurement policy of organization.
- Managing all Goods and Service Procurements as per Policies which includes Sending RFP’s, Collection of
proposals, Comparative Analysis, Conducting Purchase Committee’s, issuance of Contract.
